What personal data we collect and why we collect it

When you comment

If you comment on a blog we collect some information to protect against spam. This includes the posters IP address and browser user agent string. It’s worth noting that the data in the comment becomes publicly available so please do not share anything sensitive in there.

Do you use Gravatar? We send an anonymized string created from your email address (also called a hash) to see if you are when you comment. The Gravatar service privacy policy is available here: After approval of your comment, your profile picture is visible to the public in the context of your comment.

The lawful basis for this data collection is legitimate interest.

When you submit a contact form

Contact form data is not processed by the website, it is submitted directly to the SimonCo email servers which are hosted securely and compliantly by Microsoft. Contact form completions are uploaded to our CRM, Pipedrive, which is one of our data processors. View their privacy policy here:

We store all lead data for up to 1 year from the last point of contact at which point all identifiable data is erased and anything remaining is converted into unidentifiable statistics to help us monitor business performance.

The lawful basis for this data collection is contract.

Cookies we use

We use cookies to analyse our website traffic/usage and we don’t collect any personal data when we do this. It helps us to make the website better for everyone without being intrusive. Legislation relating to e-privacy has made it a requirement that consent is required to store cookies on someone’s device.

We make it very easy to give and withdraw consent, this is to improve your experience and ensure you have control over your data at all times.

What are cookies?

Cookies are small text files that are stored on your local device (e.g. computer, laptop, mobile). They allow a website to recognise the device and process your preferences and actions.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. We make every effort to check and ensure data privacy compliance whenever embedding content from other websites.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. This sounds a lot scarier than it is, though:

As an example, if there is a YouTube video embedded on this website and you watch it whilst logged into your YouTube account YouTube will record this activity to improve the way they recommend videos to you, just as if you’d watched it or anything else on their website.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

We store information relating to the following types of data subjects for up to the timescale stated below. This ‘countdown’ starts from the last point of contact.

  • Leads – 1 year
  • Past Clients – 3 years
  • Associations – 3 years
  • Suppliers – Up until all related customer contracts end plus 3 years

What rights you have over your data

You have the right to request the data I hold on you if you made an enquiry for our services. You have the right to delete your comment or request it be deleted if you choose to. To do this please contact me at and make a data request.

How we protect your data

All data is stored on encrypted and secure devices. All external servers where data is stored are based within the EU and comply with relevant regulations and are protected by firewalls and security technology. All companies involved with SimonCo’s data storage and processing are registered in the EU and comply with relevant regulations.

What data breach procedures we have in place

We selected our data partners based on their reliability and security. They have all taken data protection legislation seriously and have made every effort to stay compliant. With this in mind it is safe to say that if there is a data breach through a supplier then SimonCo will be informed accordingly. In addition, if there is a data breach due to any mistake on the part of SimonCo we will inform all relevant third parties.
